This Privacy Policy explains how Bilo ("Bilo," "we," "us," or "our") collects, uses, discloses, and protects information when you use the Bilo mobile application (the "App"). Bilo is operated for users primarily located in Québec, Canada, and this policy is written with Québec's Act respecting the protection of personal information in the private sector ("Law 25") and the federal Personal Information Protection and Electronic Documents Act ("PIPEDA") in mind.

By using Bilo, you agree to the collection and use of information as described here. If you don't agree, please don't use the App.

1. Information we collect

Account information

When you create a Bilo account, we collect your email address and, if you sign in with Google or Apple, the basic profile information those providers share with us (such as your name and email address). We store a securely hashed password if you register with email and password directly.

Receipt images and extracted data

When you scan a receipt, we collect the photo itself along with the data extracted from it — merchant name, transaction date, total amount, and applicable taxes (GST/QST). We also store the folder names you create and the tax category each receipt is tagged with (e.g., T2125, T777, TP-59-V, T2200-related fields).

Usage and device data

We collect standard technical data such as app version, device type and operating system, crash logs, and general usage analytics (e.g., which features you use) to keep the App working reliably and to improve it.

Subscription and billing information

Bilo's paid subscription is billed through Apple's App Store or Google Play and managed via RevenueCat. We receive subscription status (e.g., active, expired, trial) and transaction identifiers from these providers — we do not receive or store your full payment card details.

Export destinations

If you export a folder to an email address (such as your accountant's), we process that recipient address only to complete the export you requested. If you connect QuickBooks, we process the authorization token needed to forward your expense data there.

2. How we use your information

We do not sell your personal information, and we do not use your receipt data to serve you advertising.

3. Third parties we share data with

We rely on a small number of service providers to operate Bilo. Each processes only the data necessary to perform its function:

4. AI-based receipt processing

Bilo uses Claude, Anthropic's AI model, to read receipt photos and extract structured data (merchant, date, amounts, taxes). This processing is automated. Extracted data is provided for your convenience and may occasionally contain errors — you're responsible for reviewing extracted amounts before relying on them for tax filing or accounting purposes.

5. Data storage and security

Your data is encrypted in transit and at rest. Access to production systems is restricted to authorized personnel who need it to operate the App. No method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security, but we take reasonable technical and organizational measures to protect your information.

6. Data retention

We retain your account data, receipts, and extracted expense records for as long as your account is active, since expense records are often needed for several years for tax purposes. If you delete your account, we will delete or anonymize your personal information within a reasonable period, except where we're required to retain it to comply with legal obligations or resolve disputes.

7. Your rights and choices

Under Law 25 and PIPEDA, you have the right to:

If you're not satisfied with our response, you may file a complaint with Québec's Commission d'accès à l'information or the federal Office of the Privacy Commissioner of Canada.

8. International data transfers

Some of our service providers (including Anthropic, RevenueCat, Apple, and Google) may process or store data outside Canada, including in the United States. Where this happens, we rely on contractual and technical safeguards to protect your information consistent with Law 25's requirements for transfers outside Québec.

9. Children's privacy

Bilo is intended for users who are old enough to work and file taxes, and is not directed at children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we'll delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll notify you through the App or by email before the changes take effect. Continued use of Bilo after changes take effect means you accept the updated policy.
